Shopify Chargeback: Complete Guide for Store Owners
A Shopify chargeback can reverse a completed sale, charge you a $15 fee, and damage your account standing — all within days. This guide covers everything store owners need to know about how Shopify chargebacks work and how to fight them.
How Shopify chargebacks work
A chargeback begins when a customer contacts their bank to dispute a transaction. The bank immediately reverses the charge on the customer's account and initiates a formal dispute through the card network (Visa, Mastercard, Amex, or Discover).
Shopify receives notification of the dispute and emails you with a deadline to submit evidence. If you're using Shopify Payments, you respond directly through the Shopify admin. If you're using a third-party processor connected to Shopify, you may need to respond through that processor's dashboard instead.
The card network reviews the evidence from both sides and makes a final ruling. The process typically takes 30–75 days from the initial chargeback date to final resolution.
Shopify Payments chargebacks vs third-party processor chargebacks
The chargeback process differs depending on which payment processor you use on Shopify:
| Aspect | Shopify Payments | Third-party (Stripe, PayPal, etc.) |
|---|---|---|
| Where you respond | Shopify Admin dashboard | Processor's own dashboard |
| Chargeback fee | $15 per dispute | Processor's fee ($15–$25) |
| Response deadline | 7–10 business days | Depends on processor |
| Evidence submission | Shopify pre-fills some data | Manual submission |
| Win notification | Shopify email + admin | Processor notification |
Regardless of processor, the underlying card network dispute process is the same. The evidence requirements and win/loss criteria are determined by the reason code — not by Shopify.
How to respond to a Shopify chargeback
A winning chargeback response requires the right evidence, submitted before the deadline. Here's the process:
- →Step 1: Check the reason code in the Shopify admin notification. This tells you why the customer disputed and what evidence the card network will prioritise.
- →Step 2: Gather your evidence — order confirmation, shipping tracking, delivery confirmation, IP address data, and any customer communication.
- →Step 3: Write your rebuttal letter. This should directly address the reason code — don't just dump all your evidence without explanation.
- →Step 4: Submit everything before the deadline. Late submissions are automatically rejected.
- →Step 5: If you win, the funds are returned. If you lose, you can request arbitration for certain dispute types — though this has its own fees.
If you want expert help writing and submitting your response, ChargeMate handles this for $10/case or 20% on wins.
Evidence Shopify requires for disputes
The strongest evidence packages for common dispute types:
For "item not received" disputes:
- ✓Shipping tracking number showing delivered status
- ✓Delivery confirmation (signature or photograph)
- ✓Carrier delivery notification
- ✓IP/device data showing the order was placed by the cardholder
For "item not as described" disputes:
- ✓Product description and photos from your listing
- ✓Proof that customer received what was described
- ✓Screenshots of customer confirming receipt
- ✓Your return/refund policy and evidence it was communicated
For "fraud / not authorised" disputes:
- ✓IP address and device fingerprint matching cardholder
- ✓AVS and CVV match confirmation
- ✓Order confirmation email opened at the billing address
- ✓3D Secure authentication confirmation if available

Shopify chargeback fees
Shopify charges a $15 chargeback fee for each dispute on Shopify Payments. This fee is charged when the chargeback is filed — regardless of whether you win or lose. If you win, Shopify may refund the $15 fee, but this is not guaranteed and depends on the card network's ruling.
In addition to the $15 fee, you lose the transaction amount if you lose the dispute. A $100 order that gets charged back costs you $100 (reversed) + $15 (fee) = $115 minimum, plus any product and shipping costs already spent.
For third-party processors on Shopify (Stripe, PayPal, etc.), the chargeback fee is set by that processor — typically $15–$25 per dispute.
How to reduce Shopify chargebacks
- →Use a clear, recognisable billing descriptor — vague descriptors like "PAYMENT*CO" cause "I don't recognise this charge" disputes
- →Send order confirmation emails immediately after purchase
- →Use tracked shipping with delivery confirmation for all orders
- →Enable Shopify Protect (if available) or a third-party fraud detection tool
- →Make your return/refund policy easy to find — customers who can't find it file chargebacks instead
- →Respond to customer service requests within 24 hours — most legitimate chargebacks start with an unanswered complaint
- →Use 3D Secure authentication for high-risk or high-value orders
